As an Administrative Assistant within the Senate Administration, you will play a critical role in supporting leaders and teams in a specific Directorate. You will provide comprehensive administrative and operational support, ensuring day-to-day activities are managed efficiently and professionally.

Your work may include drafting and formatting formal correspondence, briefing materials, and reports; coordinating meetings and managing calendars; organizing logistics and travel; maintaining electronic records; and preparing responses to inquiries from internal and external stakeholders. You may also be required to conduct research and support analysis related to policies, procedures, or operational requirements.

Success in this role requires sound judgment, discretion in handling sensitive information, and the ability to manage competing priorities with accuracy and composure. You bring initiative, professionalism, and a strong commitment to high-quality service, while building collaborative working relationships across the organization.

Prerequisites

  • Experience providing administrative support in an office environment, including drafting correspondence, preparing briefing materials or reports, coordinating meetings, and managing electronic records;
  • Experience supporting senior officials and working in a complex organizational environment.
  • Knowledge of administrative practices and office procedures;
  • Strong research, analytical, and written communication skills, including the ability to prepare clear and professional documentation;
  • Proficient with MS Office tools (Word, Outlook, Excel, PowerPoint and Teams); 
  • Excellent organizational and interpersonal skills, the ability to work independently and collaboratively, manage competing priorities, and communicate effectively in both official languages (English and French);
  • Knowledge of the Senate, its policies, or the parliamentary environment considered an asset.
