We are looking for a dynamic, self-driven, and exceptionally organized Executive Assistant to provide administrative support to the Senator in a high-energy, results-oriented setting. As an energetic self-starter, you will anticipate needs and take a proactive approach to managing the day-to-day operations of the Senator’s office. You will coordinate meetings, prepare documents, handle communications, and ensure the office runs smoothly. Your contributions will help the Senator navigate a busy schedule while advancing key public service initiatives.
You should thrive in relationship-building, working effectively with both internal teams and external stakeholders. You will also need to be adaptable and comfortable with work outside of regular office hours, particularly during business hours in British Columbia.
Key Responsibilities include:
- Supporting the Director of Parliamentary Affairs and the Senator with communications and stakeholder engagement;
- Providing comprehensive administrative support, including managing agendas, coordinating meetings, and handling correspondence;
- Conducting in-depth research on legislative initiatives, public policy issues, and committee work;
- Drafting, editing, and proofreading reports, notes, and other documents;
- Preparing materials for Senate sittings and committee meetings;
- Monitoring and analyzing legislative developments relevant to the Senator’s areas of interest.

The general public to staff one (1) indeterminate full-time position in the Office of the Honourable Senator Duncan Wilson.

Prerequisites
- Post-secondary education in business administration or a related field, or a combination of education, training, and related work experience;
- Proven experience in providing administrative and financial services within an office environment, including drafting formal correspondence, preparing briefing materials and reports, formatting documents, organizing and scheduling meetings, and managing electronic filing systems;
- Strong research, analytical, and communication skills, with the ability to convey complex information clearly and effectively to diverse audiences, including the public, stakeholders, media, and government officials;
- Extensive experience using the MS-Office suite;
- Detail-oriented, well-organized, and able to coordinate and execute multiple tasks at once, with competing priorities and deadlines;
- Willingness to work flexible hours, attend briefings and meetings, and adapt to changing priorities and legislative timelines;
- Experience with social media platforms (e.g., Facebook, X, Instagram, LinkedIn, YouTube), including content creation, management, and monitoring, to communicate effectively with the public and engage in timely and accurate information dissemination is considered an asset;
- Experience in coordinating travel arrangements and tracking expenses and/or budget monitoring is considered an asset;
- Experience in dynamic, fast-paced environments, with an ability to navigate both public and private sector challenges, is considered an asset;
- Fully bilingual in English and French; expert French-language skills are considered an asset.
