In this role, you will provide high-level executive support to Senator Chantal Petitclerc, an independent member of the Senate of Canada representing Québec, whose parliamentary priorities include the rights of persons with disabilities, health and social policy, as well as inclusive public policy. The Senator’s areas of interest also extend to the rights and well-being of children and youth, as well as the promotion of physical activity.

Senator Petitclerc is actively engaged in the work of Senate committees and in national decision-making, advocating for diverse communities and giving a voice to underrepresented groups.

As an Executive Assistant, you will play a central role in advancing her legislative and public priorities. In this position, your responsibilities will include:

  • Managing the Senator’s calendar, meetings, and daily activities, demonstrating strong organizational skills and autonomy;
  • Keeping the Senator informed of her engagements and legislative priorities through accurate reminders and briefings;
  • Responding promptly and professionally to inquiries from citizens, partners, and stakeholders, ensuring effective public service;
  • Preparing briefing materials, drafting correspondence, and providing administrative support for the Senator’s legislative and public work;
  • Organizing and coordinating events, meetings, and committee-related activities, including conferences, roundtables, and receptions, while demonstrating initiative and a strong attention to detail;
  • Supporting communications and the visibility of the Senator’s work, including newsletters, social media, and public communications;
  • Coordinating travel logistics and other operational requirements, demonstrating discretion and reliability;
  • Demonstrating an interest in Québec public affairs and an understanding of how provincial priorities intersect with federal initiatives.

You will be a key partner in ensuring the smooth operation of her office and the effective support of her legislative priorities.

Prerequisites

  • Post-secondary education in business administration, office administration, communications, or a combination of relevant education, training, and professional experience;
  • Proven experience providing administrative and financial services in an office environment, including drafting formal correspondence, preparing briefing materials and reports, formatting documents, organizing and scheduling meetings, and managing electronic filing systems;
  • Strong research, analytical, and communication skills, with the ability to clearly convey complex information to diverse audiences, including the public, stakeholders, media, and public officials;
  • Extensive experience using the Microsoft Office suite (Word, Excel, Outlook, PowerPoint, etc.);
  • Ability to manage multiple tasks efficiently in a fast-paced environment, prioritize responsibilities, and meet deadlines;
  • Willingness to work flexible hours, attend meetings and briefings, and adapt to changing priorities and legislative timelines;
  • Proficiency in French and English is essential; bilingualism is required;
  • Interest in Québec public affairs and an understanding of the links between provincial priorities and federal initiatives;
  • Experience coordinating events, monitoring expenditures, and managing budgets is an asset;
  • Familiarity with the workings of the Senate, parliamentary procedures, and the role of committees is highly desirable; prior experience in a legislative environment is an asset;
  • Experience with social media platforms (e.g., Meta, X, Instagram, LinkedIn, YouTube), including content creation, management, and monitoring to communicate effectively with the public and ensure timely and accurate information dissemination, is an asset.
